Send To Xero and Resync

The ongoing sync runs on a schedule. When someone needs a document in Xero now, at the end of a call rather than within the hour, the record's Send To Xero button pushes that one record straight away.

Bills, credit notes, payments and products have no button. They move with the scheduled sync only.

What Send To Xero does

It runs the same push the ongoing sync would run for that one record, with the same field mappings and the same settings. It's faster, not different: a record that would fail on the schedule fails the same way here, with the same message, which is what makes the button useful for confirming a fix.

Before pushing, it checks a few things and tells you plainly if one fails:

  • Nothing has changed. Can't find any changes in record to sync. The Salesforce record hasn't been edited since it last synced, so there's nothing to send.
  • The sync is mid-cycle. The ongoing sync is currently running which will create/update the invoice. Please refresh the page in a moment to see the synced invoice. The scheduled run has it covered.
  • The contact isn't usable. The Xero contact is blank or archived in Xero. Match the Account to an active contact first.
  • The date is locked. Xero's lock date is after the document date. Change the date, or ask your accountant to move the lock date.
  • Missing field access. Please check access to these fields… The user's profile can't see a field the push needs; the debug log lists them.

On success the record's status updates from NO SYNC to the status Xero assigned, and the Xero number and View in Xero link fill in.

Resync With Xero

Invoices have a second button, Resync With Xero, for when the two copies may have drifted. It compares the Salesforce and Xero timestamps: if Salesforce changed more recently it pushes, if Xero did it pulls, and if they match it says Salesforce and xero both copies are identical. Use it after correcting something in Xero when you don't want to wait for the next cycle.

Only invoices have Resync. For other records, Send To Xero re-pushes; changes made in Xero come back on the next scheduled sync.

Not for bulk

The buttons are for one record at a time. For a large batch, let the scheduled sync handle it, or use the Re-Sync Invoices and Re-Sync Payments buttons under Advanced Settings. See How the sync works.

If it still isn't in Xero

A push that produces nothing was rejected, not delayed. The message on screen says why, and the full detail is in the debug log. See Why a sync failed.
