Invoice PDFs
A synced invoice can produce its Xero PDF without opening Xero: two buttons on the invoice record, or a setting that attaches the PDF to every invoice as it syncs.
Download Invoice
Generates the PDF and downloads it through the browser, then returns you to the record. Nothing is stored in Salesforce. Desktop only; on a phone or tablet only Attach Invoice is offered.
Right for a one-off — someone on the phone asking for a copy.
Attach Invoice
Generates the same PDF and saves it as an attachment on the Salesforce invoice record.
Right when the document should live with the record permanently: the PDF is then visible to anyone with access to that invoice, which matters for audit and for handovers.
Download leaves no trace. Attach creates a file on the record — worth knowing if you're conscious of storage, since attaching every invoice adds up on a high-volume org.
Which to use
| Situation | Action |
|---|---|
| Emailing a copy to a customer now | Download |
| Record-keeping, audit, handover | Attach |
| Every invoice, automatically | Download Invoice PDF on Sync under Object Settings |
Attaching every invoice automatically
Download Invoice PDF on Sync, on the Invoice Settings card under Object Settings, fetches the Xero PDF for every invoice as it syncs and attaches it to the record. Invoice File Name chooses Xero's naming or a field of your own. The same setting exists for quotes, purchase orders, bills and credit notes. PDFs are fetched in a separate pass after the invoices, so on a large historical sync it lengthens the run.
The PDF is generated from Xero, so it always reflects what Xero holds. Attaching it to Salesforce is a convenience copy, not a second source of truth.
