Finding Invoices in Salesforce

Updated 20 Sept 2026

Synced invoices become Salesforce records with their own tab, so finance questions get answered without opening Xero.

Invoices → All Invoices. Status is colour-coded, and the last column links straight into Xero.

The packaged list views

Seven views ship with the connector:

All Invoices · Draft Invoices · Awaiting Approval Invoices · Authorised Invoices · Unpaid Invoices · Overdue Invoices · Paid Invoices

They map to the stages an invoice actually moves through, so "what's awaiting approval?" is a click rather than a filter you build.

Reading the status

Invoice Status is colour-coded, which makes a long list scannable:

ColourStatus
GreenPaid
BlueDue (approved, not yet overdue)
RedOverdue
OrangeDraft
PurpleAwaiting approval
GreyVoided, deleted or not yet synced

Red wins: an approved invoice turns from blue to red the day it goes overdue.

Straight into Xero

Each invoice carries a Xero Invoice Url — a direct link to that invoice in Xero. When someone does need the accounting system, it's one click rather than a search.

Amounts

Amount Due, Amount Paid and Amount Credited are all on the record, alongside the date an invoice was fully paid. That's enough to answer most collection questions from Salesforce alone.

No New button here

Invoices aren't created from this list — they're raised from the record you're billing for, through the document wizard. See Invoices, quotes and purchase orders.

Put it on the Account layout

The list view is useful for finance. For everyone else, the invoice related list on the Account is where the question actually gets asked.
