Payments and Credit Notes
Payments and credit notes recorded in Xero are read into Salesforce, so an invoice's status on the Salesforce record reflects reality. Payments can also be recorded in Salesforce and pushed to Xero.
Payments
When a payment is applied in Xero, the linked Salesforce invoice updates. An invoice that read DUE becomes PAID without anyone re-keying anything.
This is usually the moment the integration proves itself: the question "has this customer paid?" gets answered on the account record, by the person asking, instead of becoming an email to finance.
Recording a payment from Salesforce
Payments have their own Payments tab. Create a Payment record with the Invoice, Date, Amount, Reference and Paid To (the Xero bank account), and with the connection on Two Way the ongoing sync pushes it to Xero as a payment against that invoice. The invoice's status and amount due update on the next cycle. There's deliberately no New button on the invoice's Payments related list; use the tab.
Credit notes
Credit notes are created in Xero and read across. They aren't raised from Salesforce — crediting an invoice is an accounting decision that belongs in the accounting system.
Timing
Both arrive on the next sync after they're recorded in Xero. If a payment was applied moments ago, it appears on the next scheduled run.
Credit notes flow from Xero to Salesforce only, whichever direction the connection is set to. Payments come back from Xero on any setting, and go to Xero from Salesforce on Two Way.
Payment status is most useful where people already are. Adding the invoice related list to the Account layout is what turns this from a feature into something the team actually uses.
