The TCC Matching Tool

Records that existed before you installed TwoCanConnect live in both systems with nothing joining them. The TCC Matching Tool in the app's navigation bar finds the pairs, scores how sure it is, and lets you confirm, choose, search, create or skip on every row. Run it once after the historical sync; come back whenever new records arrive.

Four profiles

The switcher under the title picks what you're matching. Each profile links one kind of Xero record to its Salesforce counterpart.

Invoice and Purchase Order can be pointed at any object that has a lookup back to the Xero record, so historical invoices can land on Projects or Jobs rather than Opportunities. Purchase Order only appears on the Advanced plan.

The tool needs the TwoCanConnect - Admin User permission set. Standard Users don't see the tab.

Reading the screen

Counters across the top show Matched, Unmatched and Skipped for the current profile, with a percentage bar.

Filter pills slice the list: Unmatched, High Matches, High + Medium, Needs Review, Matched, Skipped and All, each with a live count. Below them: an organisation dropdown if you have more than one Xero organisation, a search box, and a sort control (Matches first, Best match, A–Z). Lists page at 25 rows.

The analysis bar reads Analyzed 117 · 26 matches · 4 to review. Suggestions are computed when you open a profile; Re-analyze recomputes them after new records arrive. Lists over 2,000 unmatched records wait for you to click Analyze rather than starting on their own.

Anatomy of a row

Left: the Xero record, with its email or code underneath. Right: the suggested Salesforce record, a confidence badge, and the reason — High match · Name + Street + City + Postcode tells you exactly which fields agreed. The link icon opens the Salesforce record; the external-link icon opens Xero.

Actions on the right of each row:

  • Confirm accepts the suggestion.
  • Search opens a search over the target object so you can pick a different record; results show a Match button.
  • Create makes a new Salesforce record from the Xero one and links it in one step.
  • Skip marks the row as having no Salesforce counterpart. It moves to the Skipped filter and stops appearing in Unmatched.
  • Undo appears on Matched and Skipped rows and puts the record back in the queue.

The chevron expands a row to compare the two records side by side, even when there's only one suggestion.

No suggestion: the tool couldn't find anything close enough. Search for it, create it, or skip it.

Needs Review

When two Salesforce records are both plausible, the tool won't pick for you. The row shows 2 possible matches — review instead of a suggestion, and the Needs Review count goes up. This happens when the top two candidates score within 10 points of each other, when the runner-up is itself a Medium match, or when two records share a near-identical name.

Expanding a Needs Review row compares the candidates field by field. Agreeing fields are highlighted. Choose the right one.

See all fields widens the comparison beyond the key fields. Show list switches back to the candidate list.

Groups of companies land here on purpose

"Acme Pty Ltd", "Acme Holdings" and "Acme (NZ)" are exactly the records a name comparison gets wrong. Needs Review exists so a person makes that call. Auto-match never touches these rows.

Working in bulk

Tick the checkboxes and a selection bar appears with Confirm suggestions, Skip and Clear. Confirm suggestions only applies to rows that have a single suggestion.

Auto-match in the analysis bar confirms every single-suggestion row at or above a confidence you choose: High confidence or High + Medium, with an optional Also create a new Account for no-match Xero contacts. See Auto-match and matching settings.

Products

Product profile. Item code against product code is conclusive: a code match on its own is a High match.

Product matching compares the item name and, decisively, the Xero item code against the Salesforce product code. Because a matched product carries its Xero id, Undo on a product also clears that id, otherwise the next sync would silently re-pair them. See Products and stock levels.

What happens when you confirm

For Accounts, confirming does more than set a lookup. Every invoice, quote, bill, credit note and purchase order already synced for that Xero contact is re-parented onto the Account, so its transaction history appears on the record immediately. The Configuration home screen's Accounts to be Matched count drops by one.
