How Account Matching Works

Salesforce Accounts and Xero contacts are separate records in separate systems. TwoCanConnect keeps a link between them, and matching is how that link is created for records that existed before you installed. The tool needs the TwoCanConnect - Admin User permission set; Standard Users don't see the tab.

Why it matters

Without a link, TwoCanConnect can't tell that the Account "Petrie McLoud Watson & Associates" is the Xero contact of the same name. When someone raises an invoice, the wizard offers to create a new Xero contact, and if they accept, Xero ends up with two contacts for one customer with the payment history split between them. Matching once, up front, avoids that.

What the tool compares

Smart matching scores each unlinked Xero contact against every unlinked Account. One field finds candidates; the rest raise confidence when they agree.

Email isn't a signal. Two records sharing an email but with different names won't be suggested.

How the score is built

The name decides the starting point. An identical name starts at 75; a close name at 60; a merely similar one at 44. Each other field that agrees adds 11, up to a ceiling of 97. An exact account number match jumps straight to 96.

That's why Bank West with matching street, city and postcode shows 97% High match while Basket Case with only the name shows 75% Medium match. Both are almost certainly right; the first is safe to confirm without looking.

Needs Review

The tool refuses to guess when two Accounts are both plausible. A row becomes Needs Review when the top two candidates are within 10 points, when the second candidate is at least a Medium match in its own right, or when two Accounts have near-identical names. Needs Review rows are never auto-matched; you pick from a side-by-side comparison. See The TCC Matching Tool.

Smart or rule-based

Smart matching is the default and what the scoring above describes. Rule-based matching replaces it with exact field rules you define, combined with AND/OR logic, and only matches when every rule is met. It suits orgs with a reliable shared key such as an account number. Both are chosen under Settings in the tool; see Auto-match and matching settings.

When to run it

  • During setup, after the historical sync, so every Xero contact is present to be matched
  • After importing Accounts into Salesforce
  • On a schedule, so Accounts created day to day are linked without anyone remembering — see Scheduling and automation
Accounts to be Matched

The Configuration home screen shows an Accounts to be Matched count. When it's zero, every Account that can be linked has been. Climbing from zero means new unlinked Accounts have appeared.
