Running the Matching Tool
Open TCC Matching Tool from the app's navigation bar and pick the Account profile. This is the same flow for Products, Invoices and Purchase Orders.
Before you start
Run a historical sync first. The tool can only match Xero contacts that exist in Salesforce at the moment it runs. If you're coming from another connector, run the migration tool before matching so links it can recover aren't matched twice.
1. Let it analyse
Suggestions are computed when the profile opens. The analysis bar reads Analyzed 117 · 26 matches · 4 to review when it's done. Over 2,000 unmatched records and it waits for you to click Analyze.
2. Clear the confident rows in bulk
Click the High Matches pill. Everything here has a name match backed by another field. Either:
- click Auto-match in the analysis bar and choose High confidence, or
- tick the rows and use Confirm suggestions in the selection bar.
Then look at High + Medium. Medium rows have a matching name and nothing else to corroborate it. In most orgs they're right; skim the names and confirm them the same way, or work them one by one if your customer list has lookalikes.
3. Resolve Needs Review
Click the Needs Review pill. Each row has two or more plausible Accounts. Expand it, compare the highlighted fields, open either record if you need to, and click Choose under the right one. If neither is right, Search for the correct Account or Create a new one.
4. Deal with what's left
Back on Unmatched, what remains has no suggestion. For each row:
- Search if you know the Account exists under a different name.
- Create if the customer isn't in Salesforce yet. The new Account is created and linked in one step.
- Skip if it never will be: a one-off supplier, a bank, the tax office. Skipped rows leave the Unmatched list and can be undone later.
5. Check you're done
Accounts to be Matched on the Configuration home screen counts Accounts still unlinked. Zero means everything that can be matched has been. A non-zero count isn't necessarily wrong: Accounts that genuinely have no Xero counterpart stay unmatched until someone first raises a document against them.
New Accounts will keep arriving. Under Automation, schedule matching at High only so they're linked without anyone remembering. See Scheduling and automation.
Fixing a mistake
Undo on any Matched or Skipped row puts it back in the queue. If an auto-match run got something wrong, Undo last auto-matched run under Automation reverts every link that run applied. See Unmatching an Account.
