Turning the Sync On and Off

Manage Syncing is step 3 of the setup, and the point at which data actually starts moving.

Two tools, in order

This screen holds both sync tools, and the order between them is enforced by the product.

Historical Data Sync brings your existing Xero data into Salesforce. The ongoing sync cannot be started until it has completed.

That's not an arbitrary sequence: the historical sync is what tells Salesforce which Xero contacts already exist. Without it, the ongoing sync would start creating new Xero contacts for customers that are already there.

Starting the ongoing sync

Once the historical sync is done, the ongoing sync is what keeps the two systems aligned from here on. Until you start it, TwoCanConnect is configured but idle.

Don't start it until steps 1 and 2 are right either. The first run applies your current settings to real records, and correcting a wrong mapping afterwards means cleaning up in both systems.

Stopping

Stop Ongoing Sync stops it even if a cycle is running: the current cycle finishes, and no further cycles are scheduled. Running batches aren't aborted, which is deliberate — killing one mid-flight would leave its watermark half-advanced.

Records changed while it's stopped aren't lost. They're picked up on the next run once you start it again.

Pausing is the right move before a bulk data load in Salesforce, so the sync doesn't process a large import record by record.

Paused is not disconnected

Pausing stops the schedule; it doesn't unlink the organisation. To disconnect entirely, remove the Xero organisation from the configuration screen.

Sync execution user

Under the Ongoing Sync toggle, Sync Execution User shows who the sync runs as. By default that's whoever pressed Start — which is fine until that person leaves or is deactivated, at which point the sync stops.

Change User points the sync at a dedicated user instead, typically an API-only user on a Salesforce Integration licence holding the TwoCanConnect - Integration User permission set. Saving deploys a small trigger into your org, which takes a couple of minutes; Reset to Current User undoes it.

Historical sync

Manual data import

At the bottom of the screen, Manual Data Import pulls Xero's reference data into Salesforce on demand, one type at a time:

  • Import Branding Themes
  • Import Tracking Categories
  • Import Xero Accounts
  • Import Tax Rates
Manual Data Import sits below the ongoing sync. Each Import runs immediately.

The ongoing sync brings these across on its schedule anyway. Use an Import when you've just changed one of them in Xero — added a tax rate, a new tracking option, a chart of accounts code — and want it available on the invoice page now rather than after the next cycle.

Imports are safe to repeat. Each one matches on the Xero id, so it updates what's already there rather than creating duplicates, and a branding theme deleted in Xero is removed from Salesforce.
