Connecting Additional Xero Organisations
One Salesforce org can connect to several Xero organisations at once: useful when you run multiple entities, trade in more than one country, or keep a separate Xero organisation per brand.
Slots and pricing
Each plan includes one Xero organisation. Additional organisations are AUD $100 per month each; get in touch to add slots. Users and transactions remain unlimited.
A slot is used by any organisation that is connected or still holds synced data. Disconnecting or archiving an organisation doesn't free its slot; only removing its data does. If you try to connect past your limit, the screen tells you:
You've reached your connection limit of N Xero organisations. Disconnected or archived organisations that still hold synced data continue to use a slot. To connect a new organisation, delete an existing organisation's data (Xero Authentication > the organisation > Remove), or contact TCC support to increase your limit.
Look at Xero Authentication before buying another slot. A disconnected organisation left over from a trial or a replaced Xero demo is a common cause, and Remove frees its slot. Archived organisations are under Show Archived Organisations, where the equivalent action is Delete Permanently.
Connecting another
Configuration → TwoCanConnect Configuration → Xero Authentication lists every organisation with its short code, status and actions.
Click Connect to Xero and authorise, choosing the second organisation when Xero asks which one to connect. It appears as its own row in the configuration menu, with its own Sync Settings, Object Settings and Manage Syncing. Work through those, then run its historical sync; the new organisation's history hasn't been seen before.
Sync frequency is the exception: it's set once under Organisation-Wide Settings and applies to all organisations.
Products across organisations
As soon as a second organisation is active, a Multiple Xero Organisations Detected prompt asks how products should be handled:
- Shared Products — all products from all organisations go into the Standard Pricebook, so any product can be used on any Opportunity. TwoCanConnect warns if an invoice contains products from a different organisation before sending it to Xero.
- Org-Specific Pricebooks — each organisation gets its own Pricebook. Assign the right Pricebook to each Opportunity for strict separation. Products stay available in the Standard Pricebook too.
The choice can be changed later under Advanced Settings. Switching doesn't need a resync; a background job moves the existing pricebook entries.
Matching
The Matching Tool covers every organisation in one list, with an All organisations filter to narrow it. After a second organisation's historical sync, its contacts appear as new unmatched rows; work through them or let the schedule pick them up.
Disconnecting, archiving and removing
Each row's Action column offers, depending on state:
| Action | What it does |
|---|---|
| Disconnect | Stops syncing. The data stays and the organisation keeps its slot. The status shows Disconnected, with Using a slot — delete to free |
| Reconnect | Re-authorises a disconnected organisation, or one showing Reconnect needed after its Xero token expired |
| Archive | Hides the organisation from the main list. Data stays and the slot stays used. Show Archived Organisations reveals it, with Restore to bring it back |
| Remove | Permanently deletes the organisation and every record synced from it. A confirmation lists exactly what will be deleted, by object and count, with Archive Instead as the escape hatch |
Remove deletes synced contacts, invoices and documents for that organisation from Salesforce. Export anything you need first. If you only want to stop syncing, Disconnect or Archive.
