When you'd need it

Very large Xero organisations can hit Salesforce heap and processing limits partway through a historical sync. The CSV Upload Tool works around that by importing a list of specific records in small batches. It's a recovery route, not part of normal setup, and it's desktop only.

The steps

1. Select Object. The Xero organisation, then what you're importing: Invoice or Item. There is no contact import; contacts come across with the records that reference them.

For Items, a further choice appears:

  • Create New Products Only
  • Create New and Update Existing
  • Update Only

2. Select CSV Import File. A CSV with a column of identifiers: invoice numbers for invoices, item codes for items. Not Xero's internal IDs, and not a full data export. Files are limited to 40,000 rows; split a larger file.

3. Pick the column. After the file loads, a dialog lists the headers it found and asks which column holds the Invoice Number or Item Code. Import won't start until you've chosen.

4. Select the batch size. Records per batch, 1 to 100, default 20. Lower it if you hit heap size errors; that's exactly what the setting is for.

5. Start Import. The button is disabled while another CSV import is still running, or if no Xero organisation is connected.

Smaller batches beat a failed run

If a run fails on heap size, halving the batch size is the first thing to try. A slower import that finishes beats a faster one that doesn't.
