Matching is a setup task, but Accounts keep being created by users, imports and automation. Every unlinked Account is a future duplicate: the invoice wizard offers Create new contact whenever nothing is linked, and eventually somebody accepts it for a customer who already exists in Xero. Scheduling keeps up.
The Automation panel
Automation in the toolbar opens scheduling for the current profile.
Schedule
- Frequency — every hour, every 4 hours, every 12 hours, daily or weekly.
- Confidence — High only or High + Medium. The same bands as Auto-match.
- Also create a new Account for no-match Xero contacts — optionally create Accounts for Xero contacts that have no candidate at all. Leave this off unless you want every Xero contact in Salesforce.
Click Schedule. A Scheduled chip appears, and the button becomes Stop. The schedule uses whatever matching method is selected under Settings.
Each profile has its own schedule, so you can run Accounts hourly and Products weekly. Behind the scenes they share one job that runs profiles one at a time and skips a cycle if a Xero sync is in progress, so matching never collides with the sync.
What a scheduled run does
The same as clicking Auto-match: it recomputes suggestions, then applies every single-suggestion row at or above the chosen confidence. Needs Review rows are never applied automatically. Each applied link is flagged as automatic so it can be undone as a group.
High only is the safe default. Watch the Matched filter for a couple of weeks; if nothing has been matched wrongly, consider High + Medium.
Pause and undo
- Pause all auto-matching stops scheduled and on-demand auto-matching across every profile until you switch it back on. Use it during a data migration or bulk import, then re-analyse and resume.
- Undo last auto-matched run reverts every link the most recent automatic run applied for this profile. It asks you to confirm. Manual confirmations aren't touched.
Keeping an eye on it
Accounts to be Matched on the Configuration home screen is the number to watch. Steady at or near zero means matching is keeping pace. Climbing means Accounts are being created faster than they're linked, usually because their names don't score High. Open the tool and clear them by hand, or consider High + Medium.
If you used the previous account-matching tool's schedule, the Matching Tool shows a notice and retires that schedule automatically when you schedule Accounts here, so the same records aren't matched twice.
