Handling Duplicates

Duplicates come in two shapes, and they're fixed in different places.

Duplicates in Xero

Two Xero contacts for one organisation, usually created by the document wizard when matching hadn't run. Merge them in Xero — it moves transaction history onto the surviving contact — then re-run the matching tool so Salesforce points at the right one.

Duplicates in Salesforce

Two Accounts for one organisation. Merge them in Salesforce first, then re-run matching so the surviving Account carries the Xero link.

Merge first, match second

Matching before merging links both duplicates to Xero contacts, so merging afterwards leaves a link pointing at nothing.

Duplicates the tool spots for you

Two hints in the Matching Tool point at duplicates before you confirm anything:

  • Needs Review rows are where two Accounts both look like the same Xero contact. If they're the same organisation, that's a Salesforce duplicate: merge them first, then choose.
  • An Archived in Xero chip on a Xero contact usually means it's an old duplicate that was retired in Xero. Skip it rather than matching it.

Preventing them

  • Run matching before the team starts raising documents
  • Schedule matching so new Accounts are linked as they arrive
  • Re-run it after any Account import
  • Use Search another contact in the wizard rather than Create new contact when unsure
  • Keep Accounts to be Matched at zero
The count is your early warning

Accounts to be Matched climbing from zero means new unlinked Accounts have appeared. Catching that is much easier than untangling duplicate invoices later.
