Handling Repeat Enquirers

Active buyers enquire on many listings. How you model that shapes how useful your database is.

Two approaches

One Lead per person. Each new enquiry attaches to the existing record. You see the full picture of what someone is looking at, which is exactly what a good agent wants.

One Lead per enquiry. Each is separate. Simpler routing, but the same buyer appears repeatedly with no sense of their overall interest.

Most agencies want the first. It's what makes "this buyer has enquired on four three-bedroom properties in the same suburb" visible.

Decide before go-live

Changing approach later means merging or splitting records that already have activity history against them. It's much cheaper to choose now.

Matching on what

Email address is the most reliable identifier. Phone numbers get entered inconsistently; names are rarely unique.

Keep the enquiry history

Whichever you choose, keep every individual enquiry visible. Collapsing four enquiries into one record loses the pattern that made it interesting.
