Xero Salesforce Integration Cost: What You'll Actually Pay in 2026

Real published pricing for every way to connect Xero and Salesforce — subscriptions, per-user traps, transaction caps, middleware fees and the true cost of building it yourself.

Updated 27 July 2026

A Xero Salesforce integration costs anywhere from AUD $149 a month for a full two-way native connector to $310+ a month for the premium incumbent — or tens of thousands of dollars if you build it yourself. The sticker price is only half the story, though: the pricing model (per-user, per-transaction, or flat) usually matters more than the headline number, because it decides what happens to your bill as your team and invoice volume grow.

The three pricing models, and who they punish

Flat subscription (TwoCanConnect). One price per org. Ten users or a hundred, fifty invoices a month or five thousand — same bill. This is the model to prefer if you're growing, because success doesn't raise your integration bill. TwoCanConnect's tiers — Basic $149, Professional $199 (adds two-way quotes), Advanced $299 (adds purchase orders, bills, credit notes), AUD, ex-tax, billed annually — differ by features, never by seats or volume, and every tier includes the migration wizard and historic data sync. Details on the pricing page.

Metered (SFX Connect, Zapier). Cheap to start, and that free or $39 tier is genuinely fine for tiny volumes. But metering means your bill is a function of your invoice count — and the caps arrive sooner than you'd think. 25 invoices a month is one busy week for a lot of SMBs, and on Zapier every trigger-and-action cycle consumes tasks from your plan.

Premium plan-based (Breadwinner). You're paying for the category's longest track record, SOC 2 Type II and a big review base — which can be exactly the right call for a larger company with a procurement checklist. For a typical AU SMB, it's common to be paying roughly double a flat-priced native alternative for the same core sync.

The costs that don't appear on pricing pages

  • Per-user creep. Any per-seat model quietly doubles when your team does.
  • Middleware hosting and risk. iPaaS routes your financial data through a third platform — another vendor bill, another login, another point of failure. Native packages have none; the software runs inside your Salesforce org and data flows straight between Salesforce and Xero.
  • Switching labour. Moving connectors normally means manual re-mapping. TwoCanConnect's migration wizard does this in minutes from any other integration — paid or home-built — so the switching cost is close to zero.
  • The DIY iceberg. A custom Apex/API build costs $15k–$50k up front at typical AU dev rates, then keeps costing you: Xero API changes, Salesforce release testing, OAuth token handling, error queues, and the bus-factor of whoever built it.

What you should probably do

If your volume is tiny and budget is everything, start on a free metered tier and accept the caps. If you want the premium badge for procurement, price up Breadwinner. For most Australian SMBs running Salesforce and Xero seriously, a flat-priced native connector is the sweet spot — full two-way sync, no metering anxiety, roughly half the incumbent's price.
